This notice explains what personal information Groove 101 collects through this website, why we use it and the choices available to you.
Who is responsible for your information?
Groove 101 is responsible for the personal information described in this notice. For privacy questions or requests, email bookings@groove101.co.uk.
Information you give us
When you use the enquiry form, we collect your name, email address, event type, event date and town or venue. You may also choose to provide a phone number, how you heard about us and further information about your event. If the enquiry page URL includes campaign tags, we include those tags with your enquiry to understand which advertising brings enquiries.
Why we use it
We use enquiry information to check availability, prepare a quote, answer questions and, if you choose to book, organise the performance. We process this information to take steps at your request before entering into a contract and for our legitimate interest in responding to genuine enquiries and managing our services.
We do not use enquiry details for unrelated marketing unless you separately ask to receive it.
Form processing
Our enquiry form is processed by Formspree. Form submissions are transmitted to and stored in Formspree’s systems so they can be delivered to us. Formspree states that its infrastructure is hosted through Amazon Web Services in the United States and that it relies on Standard Contractual Clauses as a data processor. You can read Formspree’s security and privacy information.
Website analytics and embedded video
We use Plausible Analytics to understand aggregate website usage. It is configured as a privacy-focused analytics service and does not use cookies to follow you across websites.
Our website uses Vimeo and YouTube videos. Vimeo’s embedded player may connect when the page loads; other players load when you choose to watch a clip. These providers may process device and usage information. See Vimeo’s privacy policy and Google’s privacy policy.
CookieYes and marketing cookies
We use CookieYes to display our cookie banner and manage consent preferences. It stores a cookie preference record so your choices can be respected. See CookieYes’s privacy policy.
Meta Pixel
If you accept marketing cookies, we load Meta Pixel (ID 1081265708020657) to measure visits associated with our Facebook and Instagram advertising and support relevant advertising. Meta can receive information such as pages visited, browser and device details, IP address and advertising or cookie identifiers, and may associate this activity with your Meta account.
We do not load the pixel until you accept marketing cookies. We send a PageView event and a Lead event after a successful enquiry; this integration does not send the name, email, phone number or message entered in our enquiry form. Meta may set advertising cookies such as _fbp and _fbc. Read Meta’s privacy policy for how it handles information, including international processing.
CookieYes manages your cookie preferences. You can accept or reject advertising cookies and change your choice using the CookieYes banner and its preference controls. Rejecting them does not prevent you from using the website or contacting us. CookieYes remembers your preferences according to the settings configured for this website. If you withdraw consent, we stop further pixel events and remove Meta’s first-party advertising cookies where accessible; this does not delete information already received by Meta.
Who we share information with
We use service providers such as Formspree to operate the website and deliver enquiries. We may also disclose information when required by law. We do not sell personal information.
How long we keep it
We keep enquiry information only for as long as reasonably necessary to respond, manage a potential or confirmed booking, maintain appropriate business records and meet legal obligations. Unsuccessful or inactive enquiries are periodically removed when they are no longer needed.
Your data protection rights
Depending on the circumstances, you may have rights to access, correct or erase your information, restrict or object to its use, or receive a portable copy. Email bookings@groove101.co.uk to make a request.
You can also complain to the UK Information Commissioner’s Office. Visit the ICO complaints page for guidance.
Changes to this notice
We may update this notice when our website, services or legal obligations change. The latest revision date will always appear at the top of this page.
